Record

The record at Governance → Record is the running log of every governance decision on your hub: who decided what, when, about which subject, and with which reason.

What it is for

As an operator you must be able to show that you reacted to reports and took decisions in a traceable way. That is exactly what the record provides: every line is evidence you can present, for example in response to a legal enquiry.

It is not a work queue: there is nothing to "clear", no counters, no open items. What is here has already been decided.

Roles: hub admins only

The record (reading and export) is reserved for admins — instance moderators cannot see it. Moderators' work is still fully recorded: every entry carries the actor's role, and the "Moderator actions" filter button shows their decisions in one click.

What is recorded

Among other things:

  • Organisation approvals and rejections
  • Granting and revoking direct publishing, first-entries review decisions
  • Removal and restoration of single entries
  • Decisions on reports
  • Source approvals, pauses and decommissionings
  • Decisions on places
  • Suspending and reinstating accounts
  • Creating and archiving spaces
  • Changes to the registration mode and the spaces mode

Every line holds: the timestamp, the deciding person with their name and role as at the moment of the decision, the action, the subject with its label at that moment, and the reason verbatim.

The names are snapshots: a line stays readable even after the organisation is deleted and the deciding person's account is long gone.

What you can do with it — and what you cannot

You can filter by period, action, subject type, person and role, search the subject, and export everything as CSV.

The person filter lists exactly those who have ever decided anything on this hub — most recently active first, with their number of decisions after the name. It deliberately comes from the record itself rather than from user management: that lists every account, and almost none of them ever decided anything, so most picks would come back empty. The period does not narrow the list — somebody looking into a person does not yet know which period to look in.

The "Moderator actions" button still answers the class question alongside it: everything moderators did, whoever they are.

You can change nothing and delete nothing — not even as hub admin. Entries only ever disappear through the retention period (default 24 months, adjustable between 6 and 120 months in the Hub settings under "Operator policies" — the change itself is recorded), cleared by a background job. That is deliberate: nobody should be able to make an inconvenient line vanish.

Not included: entry bodies, reporters' contact details, IP addresses.

Legal review

The record is append-only through the application, but not cryptographically tamper-evident: anybody with direct database access could alter it. If your review requires tamper evidence, talk to your hosting team.
